Privacy Policy

Pixel Rank (“we”, “us”, “our”) operates PixelChat, a customer-messaging and email-marketing platform for businesses. This Privacy Policy explains what personal information we collect when you use PixelChat, how we use it, and the choices you have.

1. Information we collect

We collect the following categories of information:

• Account data — name, email address, password hash, company details, and billing information provided when you create a PixelChat account.
• Customer conversation data — messages, contact details (name, email, phone), and metadata exchanged through the chat widget, WhatsApp integration, email channels, or other messaging channels you connect.
• Usage data — log data, device and browser information, IP address, referrer, and interaction events generated while using the platform.
• Integration data — data you authorise us to retrieve from connected services such as WordPress, WooCommerce, WhatsApp Business Platform, Stripe, and email providers, limited to the scopes you grant.

2. How we use information

• To provide, maintain, and improve the PixelChat service.
• To route customer conversations between visitors, AI assistants, and human operators.
• To send transactional emails and product notifications related to your account.
• To generate AI-assisted replies using third-party large language model providers, strictly to fulfil the messaging feature you have enabled.
• To detect fraud, abuse, and security incidents, and to meet legal obligations.

3. WhatsApp Business Platform data

If you connect a WhatsApp Business number to PixelChat, we receive messages, sender phone numbers, WhatsApp profile names, and delivery status events from Meta Platforms, Inc. This data is used solely to display the conversation in your inbox, generate replies you have authorised, and store message history. We do not use WhatsApp data for marketing, advertising, or cross-service profiling. You may disconnect WhatsApp at any time from the integrations settings, after which no further WhatsApp data will be received.

4. Sharing and sub-processors

We do not sell personal information. We share data only with sub-processors who help us operate the service under written data processing terms:

• Supabase — database, authentication, and file storage.
• Vercel — application hosting and edge delivery.
• OpenAI — large language model processing for AI-assisted replies.
• Resend — transactional and marketing email delivery.
• Stripe — billing and payment processing.
• Meta Platforms — WhatsApp Business Platform message delivery when you have connected WhatsApp.

5. Data retention

We retain account data for the life of your account and for a reasonable period afterwards to meet legal and accounting obligations. Customer conversation data is retained until you delete the conversation, contact, or tenant, or close your account. Backups are retained for up to 30 days.

6. Security

We use TLS for data in transit, row-level security in the database to isolate tenant data, and role-based access controls for staff. No system is perfectly secure, but we take reasonable steps to protect the information we hold.

7. International transfers

PixelChat is operated from Australia. Sub-processors may process data in the United States, the European Union, and other regions. Where required by law, we rely on standard contractual clauses or equivalent safeguards.

8. Your rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or export your personal data, or to object to certain processing. Send requests to drew@pixelrank.com.au and we will respond within the timeframe required by applicable law.

9. Children

PixelChat is not directed to children under 16 and we do not knowingly collect personal data from them.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date and, where appropriate, notify you by email or in-product message.
