Train the AI on your content
The assistant answers from a knowledge base you control. Everything about the quality of its replies traces back to what is in there, so this is the highest-leverage half hour of your setup.
Adding content
The knowledge base lives at Chatbot → Knowledge in the dashboard. There are four ways in:
- Scrape WordPress pages and posts — the plugin knows your site structure, so you pick pages from a list rather than crawling blindly.
- Scrape a URL — useful for policy or help pages hosted elsewhere. PDFs at a URL are detected and handled as documents.
- Write an entry by hand — for anything not documented anywhere yet, which is usually your best material.
- Sync WooCommerce products, so the AI can answer about real catalogue items.
Imports are de-duplicated, so re-scraping a page you already imported updates the entry rather than creating a second copy of the same answer.
What to add first
- Shipping and delivery times.
- Returns and refunds.
- Sizing, compatibility or specification guidance for your top products.
- Payment methods and any regional restrictions.
- Contact routes and response-time expectations.
Five clear, hand-written entries beat two hundred scraped marketing pages. Scrape breadth after the core answers are right, not before.
Guardrails
Settings → Business info holds the business description and the off-topic response. The description tells the assistant what it exists to do; the off-topic response is what it says when a question falls outside that. Together they are what stops the bot answering questions you never wanted it to touch.
Read the transcripts
Your knowledge base gaps are visible in the inbox within a day of going live, and they will not be the gaps you predicted. Set aside time to read the first hundred conversations.
Keeping it fresh
- Re-sync products when the catalogue changes materially.
- Re-scrape policy pages after you edit them — the knowledge base does not watch your site for changes.
- Delete entries for products and services you no longer offer. Stale entries produce confidently wrong answers.
Frequently asked questions
- How many knowledge base entries do I need?
- Enough to cover the questions you actually receive. Most stores are in good shape with twenty to forty well-written entries.
- Does the AI only answer from the knowledge base?
- The knowledge base is supplied as context and the guardrails scope the assistant, but no language model is fully constrained. Escalation and transcript review are part of the design, not an afterthought.
- Can I import a PDF?
- Yes. Point the URL importer at the PDF and it is detected and stored as a document entry.
- How often do products re-sync?
- On the schedule you configure in Settings → WooCommerce. For fast-moving stock, sync more often and have the assistant link to the live product page rather than assert availability.
